IT asset offboarding checklist
Use this checklist whenever someone leaves or changes roles. It keeps custody clean and makes audits easier.

Print this and use it as your standard offboarding checklist.

Identify all assigned devices and peripherals for the user.

Schedule return date and return location (office, storage, shipping).

Verify return at handoff and record condition notes.

Update asset custody (remove assignment) and set status appropriately.

Record wipe/reimage completion and policy notes.

Move device to storage/spares location with destination recorded.

If repair is needed, set repair status and record vendor/location.

Collect and verify accessories (charger, dock, bag, monitor).

Reconcile discrepancies and document missing items with notes.

Tips to keep custody clean
Most “lost devices” are really unrecorded handoffs. Make the handoff the event.
- Always record destination location for returns.
- Treat wipe/reimage as a lifecycle note attached to the asset.
- Track repair status and vendor location so devices don’t disappear.
- Export audit evidence when needed instead of rebuilding it manually.
